UpEasyCrew LLC · Software for shipping

Software for shipping, starting with crewing. Built after fourteen years in the trade.

UpEasyCrew is the company behind UpEasy, the CRM built for crewing agencies. One live record per seafarer, shared by the agency, the seafarer and the shipowner. Each of them sees only what is theirs, and nothing expires unnoticed.

Crewing agencies sign in there, or ask for access. Seafarers join free, always, from the link their agency sends; shipowners join by their agency's invitation.

  • Records stored in the EU, Frankfurt
  • Seafarers never pay — MLC 2006, Reg. 1.4
  • Not a crewing agency, not a marketplace

What we do

One live record per seafarer, read by the three people who need it

Today we build one product, UpEasy. A crewing agency, its seafarers and the shipowners it answers to share one candidate's record, and each of them is shown only what is theirs to see.

For crewing agencies

Answer a principal the same day, with papers you already know are good

One live record per seafarer replaces the folders, the chats and the list that is always slightly out of date.

  • Who is ready to join a rank on a vessel — and exactly what is missing for those who are not.
  • A warning before a certificate runs out, not after port state control finds it.
  • Your own application form filled from the record and exported the way your client wants it, with every scan attached.

For seafarers · free, always

Your papers, once, in your pocket

Photograph each document one time and stop being asked for the same scan by every agency.

  • Share your documents with the agencies you choose, and withdraw when you leave.
  • A reminder before anything expires, so you renew at home rather than in a port.
  • Free, always. MLC 2006 forbids charging you for finding work, and we hold to it.

For shipowners and ship managers

Approve a candidate without the email thread

The agencies you work with put candidates in front of you complete, and you answer where you read them.

  • Candidates arrive with their documents, sea service and validity already checked by the agency.
  • Ask the agency or the seafarer a question, and approve or reject, from the same page.
  • You see only what the agency chose to show you. Nothing to install, nothing to pay.

Shipowners join through the invitation their crewing agency sends.

How we work

The rules we work by

Written down here so that you can hold us to them.

  1. Each person keeps their own job

We do not sell an AI employee that promises to take the work off your office. UpEasy is a working system from someone who ran a crewing agency, built so that the manager, the seafarer and the principal each do their part with the record in front of them.

  2. AI proposes, a person confirms

When the reader turns a photographed document into fields, each one carries a confidence level, and nothing counts as checked until somebody in the office signs it off.

  3. Seafarers never pay

MLC 2006, Regulation 1.4 forbids charging a seafarer for finding work. There is no payment screen on the seafarer's side, and there will not be one.

  4. Your base stays yours

We are not a crewing agency and not a marketplace. There is no shared pool of seafarers and no search across agencies, and we never approach your seafarers or your principals.

  5. The records are stored in the EU

The database sits in Frankfurt, and scans are encrypted inside the application before they are stored. The agency owns its records; we only process them on its instructions.

  6. We say what is not there

If something is not built, you hear it from us first. And we do not verify certificates: under STCW Regulation I/2 that belongs to administrations and companies, not to a software supplier.

Who is behind it

A crewing office, written down as software

For nine years I ran my own crewing agency, all vessel types. I closed it this year. Now I only build software for agencies like yours.
Vitalina Volodchenko, founder · LinkedIn

In crewing since 2012, on the office side: documents, principals, crew changes.

Every screen in UpEasy started as a day lost in that office — a scan asked for twice, a certificate found expired too late, a principal still waiting for an answer.

I read every message myself and answer within one working day. A crewing agency joins UpEasy by invitation, so we talk first and then I send you a link.
